Accommodation Finance Coordinator – Full Time –

The purpose of the Accommodation (ACM) Finance Coordinator role is to develop and maintain accurate, high quality and insightful financial information and analysis to support the ACM Lead in ensuing sufficient, suitable accommodation is available to all accommodation users for whom the Organising Committee is responsible. The role will be responsible for the planning and management of the financial transactions related to the accommodation reservations completed by the Birmingham 2022 clients. The key elements of the role are the transactional processing and reporting of accommodation invoices generated by the Accommodation Reservation System (ARS), part of the Games Management System.

Key Responsibilities

Lead in producing all relevant documentation and develop a process for the financial delivery model of the ARS.
Lead in the design and documentation of financial processes related to the client accommodation reservations, to satisfy business requirements and support commercial decision-making.
Preparation of sales documents, booking confirmations, invoices and credit notes.
Preparation of financial analysis to support the ACM Lead and other business areas in decision-making.
Support the ACM Lead in promoting delivery of a cost-effective Games, identifying opportunities for efficiencies through cross-departmental analysis and financial insight.
Financial integration between the ACM and the Finance FAs.
Develop an understanding of the Organising Committee’s operations to enhance financial analysis and evaluation.
Lead on the payments planning and collection & reporting (collections from client payments & payments to accommodation providers).
Invoice issuance and payment tracking.
Preparation of monthly bank reconciliation of the ACM bank account.
Lead on required financial reporting.
Support on internal and external audit.
Assist in the preparation of monthly financial reports, as required.
Respond to queries from suppliers and Organising Committee staff as required.
Preparation of the Post Event Reconciliation.Person Specification

Experience of working in a large Accounts department, including expert knowledge of Accounts Payable, Accounts Receivable and General Ledger functions.
Knowledge of developing and implementing financial processes and procedures.
Ability to identify innovative options or solutions that provide improved level of services.
Excellent communication and interpersonal skills.
Ability to use initiative to resolve matters within their control, only escalating relevant issues.
Sound judgement and ability to make evidence-based recommendations.
Ability to adopt a flexible approach, taking on different tasks and adapting to the rapidly changing workload of the Organising Committee.This position is subject to a Basic criminal record check from the Disclosure and Barring Service.
